About the Role
We are seeking an Office & Employee Experience Manager to join our HR team. This role is vital to ensuring an efficient, professional, and welcoming work environment while fostering employee engagement and wellbeing. You will oversee office operations, facilities, vendors, and welfare programs, while playing a central role in creating a positive employee experience.

What will you do?

  • Manage all administrative and office operations to ensure the office runs smoothly.

  • Oversee facilities maintenance, safety compliance, and coordination with external vendors (cleaning, catering, maintenance, IT, pest control, gardening, etc.).

  • Handle procurement of office, kitchen, and welfare supplies; manage inventory and budgets; and process invoices with Finance.

  • Organize and support company visits, meetings, events, and ensure a welcoming experience for guests and candidates.

  • Plan and execute welfare and employee experience initiatives (happy hours, holiday celebrations, team events, swag, employee gifts, milestones, and onboarding/offboarding).

  • Coordinate large company events and projects (e.g., office expansions, seating arrangements, renovations).

  • Manage employee travel logistics end-to-end: flights, accommodation, transport, insurance, visas, and ongoing support for employees abroad.

  • Support HR processes with onboarding logistics, training arrangements, and employee communications.

  • Act as the first point of contact for office-related inquiries, providing real-time solutions to daily operational or logistical challenges.

  • Maintain a high standard of office appearance and ensure a positive, engaging workplace atmosphere.

Requirements

  • Proven experience in Office Administration, Employee Experience, or a similar role.

  • Strong organizational and multitasking skills with attention to detail.

  • Excellent interpersonal skills and a warm, welcoming demeanor.

  • Ability to manage multiple priorities and work independently with a proactive, “can-do” approach.

  • Experience managing vendors, budgets, and contracts.

  • Creativity and enthusiasm for building a positive workplace culture.

  • Proficiency in office tools and systems – an advantage.
