About the Role
We’re looking for an Office & Employee Experience Manager to join our HR team. This role is key to creating a smooth, professional, and welcoming workplace while driving employee engagement and wellbeing. You’ll oversee daily office operations, manage vendors and facilities, and play a central role in shaping a positive employee experience.
What You’ll Do
- Manage day-to-day office operations to ensure a smooth and efficient work environment
- Oversee facilities, maintenance, and safety compliance; coordinate with vendors (cleaning, catering, IT, maintenance, etc.)
- Handle procurement of office and welfare supplies, manage inventory and budgets, and process invoices with Finance
- Organize company visits, meetings, and events, ensuring a great experience for guests and candidates
- Support recruiting activities, including interview coordination, candidate experience, and onsite logistics
- Plan and execute employee experience initiatives (events, celebrations, onboarding/offboarding, gifts, milestones)
- Lead large-scale projects such as office expansions, renovations, and seating planning
- Manage end-to-end employee travel (flights, accommodations, visas, insurance, and support abroad)
- Support HR processes including onboarding logistics, training coordination, and internal communications
- Serve as the go-to person for office-related needs, solving day-to-day operational challenges
- Maintain a high standard of office appearance and foster an engaging workplace atmosphere
Requirements
- Proven experience in Office Administration, Employee Experience, Recruiting Coordination, or a similar role
- Strong organizational and multitasking skills with great attention to detail
- Excellent interpersonal skills with a warm, service-oriented approach
- Ability to manage multiple priorities independently with a proactive, can-do mindset
- Experience working with vendors, budgets, and contracts
- Experience supporting recruiting processes or working closely with hiring teams – an advantage
- Creative mindset with a passion for building a positive workplace culture
- Proficiency in office tools and systems – an advantage
