We are seeking a highly organized and proactive Department Secretary to provide administrative support to the department VP and division managers. This role is ideal for a professional who enjoys working in a dynamic environment, managing multiple priorities, and serving as a key point of coordination within the department.

Responsibilities:
- Manage the Department VP's calendar and office activities.
- Coordinate schedules and meetings for multiple division managers.
- Organize and support in-person meetings, multi-participant sessions, and department events.
- Welcome guests and oversee meeting logistics, including refreshments and room preparations.
- Coordinate contract and addendum signature processes with internal stakeholders.
- Provide ongoing administrative support to the department's daily operations.
Requirements:
- Previous experience managing multiple calendars and coordinating schedules.
- Excellent interpersonal and communication skills.
- Ability to work independently and manage competing priorities.
- Strong organizational skills and attention to detail.
- Positive, service-oriented, and professional approach.
- Ability to remain composed and effective in a fast-paced environment with fluctuating workloads.
