Work Schedule: 5 days/week (4 days in office + day WFH)
We’re looking for a highly organized, proactive, and people-oriented individual to join our team as an Executive Assistant & HR Administrator.
This is a unique opportunity to work closely with our CEO while gaining hands-on experience across all aspects of HR - perfect for someone eager to grow within the field of people operations.
Executive Assistant Responsibilities:
- Provide direct day-to-day support to the CEO, including scheduling, calendar management, and coordination of meetings and travel.
- Provide high-level personal assistance to the CEO as required, including matters related to home, and personal logistics.
- Oversee the organization of the company’s monthly All-Hands meetings, including logistical planning, agenda coordination and communication with presenters.
- Coordinate interviews with the CEO for various positions.
- Manage confidential information with discretion and professionalism.
- Anticipate needs and proactively handle administrative and logistical details.
- Support in special projects, company initiatives, and leadership activities.
- Manage travel arrangements for the company, primarily for executives.
HR Administration Responsibilities:
- Provide administrative support to the HR team across a variety of processes - from recruitment coordination to onboarding and employee engagement.
- Assist with cross-organizational processes, HR data maintenance, and documentation.
- Partner with the Employee Experience & Office Manager to ensure smooth office operations, plan and execute company activities, events, and fun initiatives.
Requirements
- 2-3 years of experience in administrative roles - experience supporting executives is a plus.
- Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
- Excellent communication and interpersonal skills.
- A true team player who enjoys collaborating with others and contributing to a positive work environment.
- A “people person” with a can-do attitude and genuine interest in HR.
- Proficiency in English (spoken and written) and MS Office/Google Workspace.
