Taboola is looking for a self-motivated, strong and organized Office Coordinator to join our admin team in Israel.

As an Office Coordinator you will be the face of daily life at our office. You’ll deliver excellent customer service while managing all day-to-day operations, maintain and organize our work environment, and create a place where employees can be productive and enjoy themselves.

This position is right for you if you have high energy, plenty of motivation, excellent communication skills, and superb attention to detail. To thrive in this role, you'll need:

  • 1-3 years of experience as an office coordinator, ideally in a tech environment. Experience in a front office handling receptionist role and building relationships with a range of internal departments (finance, human resources, executive teams)
  • Hands-on mentality, belief that no task is too big or too small
  • Strong prioritization skills and ability to manage a wide variety of requests
  • Passion for tackling issues in the moment and anticipating future needs, a creative and outgoing nature, and a get-it-done mindset
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Interest and excitement surrounding corporate culture and events and clients meetings
  • Knowledge of Google Workspace and Excel is required
  • Confidence and ability to sourcing new vendors and being cost effective
  • Strong written and verbal communication skills in both English and Hebrew
  • Competence in Microsoft Office

How you’ll make an impact:

  • Be the “face” of Taboola, sitting in the reception while being a welcoming point of contact for employees, clients, and visitors on a wide range of requests
  • Organize and coordinate administration duties while ensuring high levels of organizational effectiveness at the office reception and maintain inventory of all supplies, including medication orders and our fully-stocked kitchen,deliveries etc.
  • Tracking office supply costs against pre-existing budgets.
  • Manage relationships with vendors – searching and negotiation with potential external suppliers, external suppliers related to the office ( groceries, Happy Hours,meetups, anniversary etc.).
  • Ensure a pleasant working environment and smooth ongoing operation of all administrative needs.
  • General operation and administrative responsibilities, including welcome visitors, answer phone calls, and assist every employee or guest with every need.
  • Support finance department with expense.
  • General operational support with different activities and with issues that may arise.
  • Handle matters with the highest level of confidentiality and time sensitivity.
